Overview

The Executive Assistant plays a pivotal role in supporting the Executive Vice President (EVP) of the Center for Resiliency and Clean Energy (CRCE), enabling the organization to achieve its mission of advancing sustainable solutions for a cleaner, more equitable future. The Executive Assistant ensures seamless operations through efficient calendar management, meeting coordination, and effective communication across stakeholders. This role is ideal for a highly organized, detail-oriented professional who thrives in fast-paced environments and is passionate about contributing to meaningful, long-term organizational impact. The Executive Assistant will work closely with the EVP to support transformational initiatives, strengthen operational efficiency, and foster a collaborative, equitable workplace.

Core Responsibilities

70% - Administrative Support

  • Manage the logistics, scheduling, agendas, and follow-up for multiple meetings per day, ensuring smooth execution and alignment with organizational priorities.
  • Prepare meeting materials in advance, including agendas, supporting documents, and presentation decks.
  • Attend meetings to take detailed notes, capture decisions, and track action items, ensuring timely follow-through.

20% - Internal Communications

  • Draft and distribute clear and concise communication materials, including meeting summaries, updates, and memos, to keep the team informed and aligned.
  • Act as the liaison between the EVP and internal stakeholders, ensuring consistent and accurate messaging.
  • Respond to emails on behalf of the EVP when appropriate, prioritizing urgent communications.

10% - Task and Project Management

  • Track the progress of key initiatives and tasks, ensuring deadlines are met and stakeholders are accountable.
  • Organize and maintain shared digital files and project management tools to streamline workflows.
  • Anticipate and address potential logistical or scheduling challenges, proactively identifying solutions to keep tasks on track.

Qualifications & Skills

The ideal candidate will also bring the following skills, attributes and experiences:

  • 3+ years of experience in administrative or executive support roles.
  • Proven ability to manage complex calendars and coordinate meetings with multiple, geographically distributed stakeholders.
  • Exceptional verbal and written communication skills, including experience drafting and editing professional correspondence.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet competing deadlines.
  • Proficiency in Microsoft Office Suite, including Teams and Outlook, as well as familiarity with project management tools such as Monday.
  • Self-directed, proactive, and solutions-oriented, with a strong sense of accountability and follow-through.

This role is located in our New York Office and is a hybrid role with two days per week in the office and three days per week working remotely.
